• Congratulations!!: Monday night Greek Awards went great, we have done such a great job this past year. We have a very strong Panhellenic Community, and have a lot to be proud of.
• Lunch with the Delegates: Was hoping to do it this weekend! We will have it this Sunday at 1PM, if you can’t make it please have a one on one scheduled with Meaghan! OWENS!
• President’s Dinner: Please remind your presidents we have dinner on Monday at 7:30PM at Macado’s. This is place of their Roundtable.
• Next weeks meeting: Grecheck will be passing out Philanthropy calendars today, and we need to vote on them,
however we don’t have a meeting/room scheduled for next week. We could have a meeting next Wednesday in Oak
Lane, or we can vote today, and it must be unanimous.
• Panhellenic Princess: Sigma Kappa gives the house to Alpha Gamma Delta for getting a new house in Oak Lane next year!
• Town Council last week: spoke about the 365 Community Service Hour project. We will be put on the September
agenda of the Town Council meeting and will present our program to the town, and give us more volunteer
opportunities!

Philanthropy Calendar
President Meaghan Gough announced she would entertain a motion to accept the Philanthropy Calendar.
Chi Omega motioned to accept
Alpha Delta Pi Seconded the motion.

The Philanthropy Calendar is accepted.
This is officially our last meeting of the semester!

NPHC: Congratulations in regarding Greek Awards, and the Orange Team. Alpha Kappa Alpha is having a study break program on Reading Day. More information will be coming. AKA also initiated 11 new girls. Kappa Alpha Psi is having a program on Tuesday called “Cater to You” – food! Information will be sent out soon. Omega Psi Phi and Kappa Alpha Psi will be celebrating their centennial this coming year! Next Wednesday, May 5th party at Awful Authors entitled “Freakin’ Finale” Website for NPHC is finally up! NPHC.org.vt.edu.

DELEGATE REPORTS
Alpha Delta Pi has their last trip to Ronald McDonald house this Sunday. We had Car Smash today, and it went well.
Delta Delta Delta’s seniors just became alumnae and has Formals his weekend!
Pi Beta Phi has their Founder’s Day today! This Friday is Formals! Senior Banquet is Sunday!
Alpha Chi Omega’s this week is Senior Week! Had dinner with their sister sorority tonight!
Delta Gamma has a cookout for seniors next week.
Sigma Kappa had Parent’s Weekend this past weekend and tomorrow night our seniors are taking alumnae status.
Kappa Delta had senior dinner last week and Formals this past Friday. And Alice-Ann will be in a play next Wednesday!
Zeta Tau Alpha had Formals this Friday and passdowns on Wednesday!
Alpha Gamma Delta had Formals last Saturday. Senior Dinner is Friday and wally ball tournament on Saturday!
Alpha Phi’s seniors have taken alumnae status.
Kappa Kappa Gamma’s weekend is Mom’s Weekend!
Chi Omega has seniors taking alumnae status on Sunday! Raised over 500 dollars at TCBY last week!

Campus Chapter Total: two-tier system.
Vice President of Recruitment, Sarah Ermlich, announced she would entertain a motion to accept the two-tier system.
Zeta Tau Alpha motioned to accept.
Alpha Delta Pi seconded the motion.

Virginia Tech opening for extension:
Vice President of Recruitment, Sarah Ermlich, announced she would entertain a motion to accept the proposal to open for
extension.
Pi Beta Phi motioned to vote.
Chi Omega seconded the motion.
10 chapters are in favor.
2 chapters are opposed.
The motion is passed.
In the fall, we need to make sure roster numbers are accurate, and set total quickly.
Timelines are passed out as to the extension process, as well as the posting of what possible new chapters are expected to complete and turn in to be considered. When the fall semester begins, you will have all information necessary and we will begin narrowing these chapters down to 3-4 finalists. Those 3-4 chapters will present their case to the Panhellenic Community. It is called an extension presentation. We will then vote on who will like to extend an invitation. They will participate in Round 1 of Recruitment. We will allow a 2-3 week colonization process to colonize the following spring. They need enough chapter women to fill their housing requirements. If they don’t receive enough women to fill the house, most likely a fraternity will be given the house. Alpha Gamma Delta will be moving into the Delta Zeta house and are transferring their lease back to Virginia Tech. Nonaffiliated students will live in the vacant lot for one year, until this new chapter moves on. It won’t be freshman. We can use this facility during formal recruitment. Any questions?
Alpha Delta Pi asked if nationals will receive this information as well. Yes.
Delta Gamma President asked how new member numbers will change this coming Recruitment. We may have larger totals, we may have larger than normal women going through Recruitment because when extension happens, recruitment numbers usually go up. This is going to be a positive experience.
Delta Gamma asked if a PNM receives a bid, are they still bound? Yes.

Alpha Delta Pi has their 20th anniversary celebration this weekend. Participating on Alpha Phi’s philanthropy and Greek Week
Delta Delta Delta is doing Greek Week. Has a fashion show this Friday with little girls they mentor.
Sigma Kappa has parents weekend this weekend and finished their flower beds this weekend!
Delta Gamma’s seniors are alumnae!
Kappa Delta’s chapter woman just got Panhellenic Woman of the Year.
Zeta Tau Alpha raised almost nine thousand dollars last week!
Pi Beta Phi had parents weekend last weekend and participating in Greek Week now!
Alpha Phi’s philanthropy is this week and formals ar Friday!
Kappa Kappa Gamma is working hard for Greek Week!
Alpha Gamma Delta is participating in Greek Week and has formals Saturday.

• We have our first Rho Gamma meeting tonight!
• President’s Gala – deadline is tomorrow in the Greek Office. Payment must be included.
• Congratulations to Alyssa for doing a wonderful job with Mock Trial. Some chapter women were being extremely rude
at this event. Please make sure your Presidents address this to your women. Meg thinks it would be a good idea for
each chapter to apologize to the Student Conduct Office.
• Phi Beta Sigma’s can collection is next Thursday right outside of DX. Meg would like to collect a lot of goods for him,
to show our support. Please let your chapter women know about this. You can either bring the goods to NPHC directly
next Thursday, or to our PHC meeting on Wednesday. Canned goods and clothing are being collected.
• Meaghan is the new Vice Chair for the Commission of Student Affairs.
• Panhellenic Princess: Pi Beta Phi gives it to Kappa Kappa Gamma for winning Phi Sig’s Olympics.

• Thanks for coming on Monday!: There were definitely issues with talking but Student Conduct was very happy with
the turnout, so thank you for coming out. Obviously need to work on behavior for the coming speakers, but overall
Alyssa was pleased.
• Police Appreciation: Will be pairing with Oak Lane Community Council for a cookout. Will have more information
next week.
• Meaghan will send out the PowerPoint slides from Mock Trial. Please forward on to your chapters.

• Philanthropy Roundtable Date: Monday April 12, at 9:00PM at Delta Gamma House. All chairs have been notified. If
chairs cannot attend, someone MUST go in their place, or they will be fined.
• Philanthropy Date Request Form: Due Monday, April 26th. Being passed around. Please take one. Must write out your
philanthropy and what dates you want, and will be put in a calendar all together. Will vote on the last meeting to
approve this calendar. Be in contact with your philanthropy chairs!
• 365 Community Service Hours Program Changes: E-mail was sent out this past week. The change is: 50% of chapter
OR 50 members must attend the event.

1. What are three of the six prongs that are required for an event to be titled an organizational event? Six or more
members, an exec member to know about the event, to pay with chapter funds.

• Extension and Total: We all know that the community was going to examine ways to move forward after the Delta Zeta
incident. The information has been printed out and is being passed around in case any chapter women have questions.
• DDD Nationals asked if we opened for extension, to chapters previously at Virginia Tech have priority? No. They will
be considered, but not given priority. Any further questions? No.
• We will be going to a two-tier total system. It was a unanimous committee decision. We previously did not follow any
recommended way to chose total in the past, and this will now allow chapters to recruit in the spring, and allows for
significant fall recruitment, and will further decrease the gaps. All sorority chapters have the opportunity to submit
information for installation. We are on a specific timeline, because housing will become problematic after one year.
Our community is continuously growing, and this seems to be the best solution. This information has been sent to
national Panhellenic delegates as well as chapter Presidents. We will be voting in two weeks. You will be getting very
clear directions and suggestions on this topic, please send all concerns to Adam and Meaghan. If approved, we will talk
more about timelines and implementation afterward.
• Adam appreciates the women who went to the Mock Trial, but it is less than wonderful that you all represented
yourself in such a poor light. We are better than that. If you organization was a part of this, please be sure it is
addressed. Christine Hassler is a great speaker; please anchor this event. Please make this a highly suggested, or
mandatory event. It is going to be a great speaker. Officer Allen is a great speaker as well. Also, if you are on a conduct
sanction and such, this would be a great way to show your dedication and commitment to the Panhellenic Community.
OLD BUSINESS
NEW BUSINESS
President Meaghan Gough will now entertain a motion in regard to 365 Days of Community Service.
Kappa Delta motioned to accept.
Delta Gamma seconded the motion.
Delta Delta Delta feels very uncomfortable to vote in favor of this motion. It is a big commitment to make, and feels as though
they are not ready to make a final decision. There is a potential $600 fine if we do not complete this community service. Was also
not able to discuss this with our executive council the past week because of the Easter Holiday.
Lauren Grecheck moved the number from 50% to 50 members. Would like to be able to use specific events to use toward these
hours. Community Service must be hands-on. If the numbers were changed to 25%, the number would only lessen to 40 people.
This is feasible. The Big Event is four hours in itself. Oak Lane Trick or Treat is 4 hours. Greeks Giving Back is another
example, and there are many other opportunities in the community available. The 3.2 for 32 Mile Run. The $610 would be if you
completely disregarded this event. This money would be going back into the Blacksburg community, and in case you didn’t
know, this is an extremely impoverished community.
Chi Omega asked if a chapter is put on probation, how would they function. Would be taken on a case-by-case basis.
This is not to punish your chapters.
Chi Omega inquired about philanthropies, and why this is not enough. AFLV has noted to us that there are two parts of
Grecheck’s job: philanthropy and community service. We are to not only raise money for charities, but also work in the
community in which we reside, hands-on.
Ashleigh noted: Please work with Lauren, this is a great idea.
Sigma Kappa would like to suggest not having a certain requirement of hours. If we are encouraging the chapters to do
community service, there must be a program that has requirements.
Kappa Kappa Gamma would like to not necessarily have fines, but rather a community service project. Lauren’s problem with
this is if your chapter does not complete community service project requirements, why would they do a different one.
Kappa Delta would like to say how much this would improve our chapters, our representation, and our community. This is not a
punishment, but it will rather show our chapters how much we do community service, or areas we need to improve.
Meaghan would like for sister chapters to count as hours.
Kaila would possibly like to lower the hour requirements.
Chi Omega is concerned with over-programming. People want to go home, do school work and such. Possibly tier the system,
and make it more competitive, rather than punishments.
Delta Delta Delta would not like to see this program go down, but right now does not have the support from the chapter that they
need.
Show of hands, the number of women by a deterring factor, would 25% persuade you? Majority says yes. Could also divide the
event into two days to make events more manageable.
Alpha Delta Pi: there is a list of projects that do not get completed by the Big Event. Could we by any chance get the list of these
projects and get information. Grecheck will check this out.
Meaghan is also very in tune with what is going on with the community, and can help you with ideas of how to become involved.
Grecheck will be doing an educational program for each chapter next semester, and can give you all ideas of how to become
involved in that way. This is something to put on resumes, and improves your chapters nationally.

must be in attendance. Philanthropy events WILL NOT COUNT. This really is no more work than you already do; we
just want to document it. If you go above and beyond, it will be come a competition, and the winner will receive a

the BCC Downstairs, and the room is reserved for 7:30PM. Sigma Week is the 12th-16th of April – 12: Program.
Thursday will have a sleep-out until 2AM at D2, come hang out and bring canned goods! Friday they plan to have a
cookout in front of Owens and Saturday are having a Gateway Party With Lambda Sigma Epsilon. There will be a
Block Show (a miniature step show at 2PM, location is not confirmed) on Sunday. There will be a raffle that week
($1.00). If you come to the cookout, that is when the prizes will be given!

• There have been multiple complaints about delegates not doing their job. It is your job to get this information to your
chapter, please do it. Relay the information.
• Are meeting on Friday about moving forward after the loss of one of the chapters. If you have something you would
like to bring to this meeting, please contact Adam or Sue. When there is emotion on the floor, it’s a big deal. If you
vote and don’t check with your National Organization, you will get in BIG trouble. Be sure to be ON POINT with this
one. When you have the two weeks before voting, use it. Information is being sent to national delegates, so they should
at least be aware of the information. Be prepared to vote. Please remind your women that they never know who is
around them, speak appropriately in public. A majority of these Delta Zeta women were not a part of this incident, it
could just of easily been your chapter. With regards to bringing on a new chapter, this is not a guarantee, and there is no
guarantee that would come on the campus. YOU WOULD BE THE FIRST TO KNOW. The timeline is unsure of until
this committee first weeks. This is a new process for everyone, there will be a lot of questions, but we will get through
this together as a community. We are looking at what is best for the community.

though there is sometimes and overwhelming amount of information given at Council meetings each week, and to help
the delegates decipher what needs to be relayed to chapter women and such, Sue will send out a checklist each week of
necessary measures delegates must take to keep up with Panhellenic Events.

• Greek Awards: The packets are due April 5th at 5PM. The Rho Lambda Panhellenic Award DOES NOT have to be a
President.
• SOGE: On average, the score has gone up approximately 22 points. They are available for review in the Greek Office.
• Delta Zeta: The report I sent to delegates can be given out to the entire chapter. These women have been given the
status of alumnae, and can wear their letters. Their charter has been revoked, but they are still Delta Zeta women. The
women will live in Oak Lane until the end of the year, and next year it will be general student housing, not a Greek
chapter house. For all intensive purposes, Delta Zeta, our first sorority chapter at Virginia Tech, no longer exists. Just
because you are a sorority, this does not mean you will not be treated the same as IFC. The rules apply to you. This is
not an isolated incident; they have been having problems with risk-management since 2006. Not all 100 women are
responsible for this incident, so please do not talk bad about them, and respect them. Please taking this as a learning
opportunity for the chapter that you are in, and are not putting yourself in a potentially similar situation. The new
chapter women have been released, and were never initiated. These women are victims of circumstance. Pictures on
Facebook do not get you in trouble, conduct in pictures get you in trouble. Don’t do stupid things, don’t take pictures
doing stupid things. There were no pictures in this incident. Delta Zeta’s national organization had to tell us of the
drinking incident on Bid Day. It is common knowledge you cannot drink during the Recruitment Process, and cannot
drink in Oak Lane Housing. There is a current committee underway looking at the current sorority situation, not every
chapter is a part of this community. There are three exec members, three delegates, and two alumnae, as well as Adam.
The committee will look at the numbers and organization of recruitment, and will be presented to the Panhellenic
Council for voting. Are there any questions – you are Adam’s biggest advocate.
• Delta Delta Delta inquired as to how to speak with chapters about this current situation. If your chapter has many
questions, Adam can come speak to your chapter, but forwarding the e-mail Adam sent earlier this week should be
enough information given.
• Alpha Delta Pi has inquired as to if the newest members name’s will be listed for future Recruitment Processes.
• Sigma Kappa inquired as to how party sizes will change for the Recruitment Process. It will be huge. Adam doesn’t
know at this time.
• Delta Delta Delta asked if Delta Zeta would be able to come back onto this chapter. Yes, after two years.
• Chi Omega has asked if the women living in the house next year must hold their contract. No, they can break their
contract or transfer it to on-campus housing.
• Adam thinks it will possibly be transfer housing.

sisterhood and preference night to all rounds of recruitment.

Convention, which is a private meeting with the National President.
Alpha Gamma Delta had their new members sleepover on Saturday. March 19th they are signed on to work with the Alcohol
Abuse Prevention Center.
Alpha Phi got their Bigs on Saturday. Initiation is the week we get back from Spring Break. They are going with Sig Ep to read
to Elementary Schools.
Chi Omega Date Party is tonight, and they got Littles on Saturday.
Delta Delta Delta sent soldier letters to Afghanistan, and letters to families and friends for St. Jude.
Delta Gamma big sis rev was last week. Over the weekend they had an officer conference in Richmond, who was impressed with
our Panhellenic.
Kappa Delta new members got bigs on Friday. Initiation begins March 20th. The 5k Shamrock Event is on the 27th of March.
Kappa Kappa Gamma is hosting Kelly James, a musician traveling to play at sororities and fraternities. Initiation is the week we
get back.
Pi Beta Phi big sis rev was last week, March 30th Lily Pulitzer trunk show is from 7-9PM.
Sigma Kappa retreat was in Ashville NC last week and they got to go snow tubing, They got Littles last week, and are excited for
Egyptian Expedition.

You sign up through VT Engage, and can count as service hours.
• Relay for Life: If you said you wanted to be on our team, please go on the Relay for Life Website and our team name is
Panhellenic Council, the maximum will be increased to twenty so we can all participate!
• Philanthropy Roundtable is next Wednesday at 9:00PM the Delta Gamma House. If your chapter misses a Round
Table, please be sure you send a replacement, or you will be fined by Panhellenic.

First Presentation of the 2010-2011 Budget:
Budget e-mail sent out, we have a revenue account for infractions, recruitment and a budget board account with money we apply
for each year with programming; in budget account 500,500 & 46,000 in revenue. Based off of what each position spent last year
this years budgets were switched around going to spend about 94,000. This is tentative.

• AFLV Risk Management: Speakers spoke primarily to fraternities, but “foreseeablity” is an important aspect that
applies to all chapters. Always be thinking of how your choices will end negatively, and prevent it.
• Spring Break Safety: There is only three weeks until Spring Break. Information is being passed around, and please read
this to chapters. VT Policies still apply while not at Virginia Tech. Keep the six criteria for an organizational event in
mind.

• Greek Week Committee: Last night Bri met with officers and created the Greek Week Executive Board, and those

• AFLV: Bri attended a mixture of programs, and got idea from speakers to bring to campus. Bri is also is hoping to
reach to a larger community at Virginia Tech.

• AFLV: When you are making your budget, it is a good idea to make a list of what you want to do, what you don’t want
to do, and what you will actually do day to day.

• Newsletter Articles: No one has sent an article to Ashleigh. Please send in articles. Speakers, retreats, Anchor Splash,

you can also see the entire past year of Newsletters on the PHC website. Short articles are best! This is sent out to the
entire Greek Community, and is a great PR tool.
• Sponsorship of Corey Smith Concert: Panhellenic will be Co-Sponsoring this concert on the 16th of March. VTU and
IFC will also be sponsoring the event. We will basically just be putting our name on the concert.
• Social Network Sites: Facebook, Twitter etc. can be good or bad, depending on how you use them. You can spread the
word about Recruitment and Philanthropy Events, but it can also be used to post inappropriate pictures. This could
include pictures that don’t include alcohol as well. Important for not only now, but also for future job opportunities.
• Marketing Outside Key Demographics: We can improve our campus image by reaching outside our key demographics.
We should branch out from the stereotypical sorority Recruitee. – Speak to people in their language. Follow through on
what you say regarding your chapter.

• Jr. Panhellenic will be deciding on participating in the Relay Team this week. Information will be sent out soon.
• Philanthropy Involvement: Many ideas on how to get others involved in the philanthropies, and how to raise more
money. More information will be discussed at Roundtable.
• Time Management: When sending an e-mail, it is important to CC the President or Advisor so that that chapter woman
is held responsible. Commit time to yourself and your agenda. If you don’t make time for yourself, you won’t perform
your best in other areas of your life. Bring your class work with you, and work during the day for school. There is a lot
of information as well on delegation, and can be sent out later.

• IFC Meeting: There was a speaker last week discussing a research project about why and how people drink alcohol.
Fraternities are contemplating participating, and the entire project is confidential. They may attend fraternity functions,
so be sure to be on your best behavior. Brain Steele stated all information is disclosed. NPC members cannot give
information regarding their Greek experience without approval from chapter advisors and executive councils. Reminder
that you cannot co-sponsor an off-campus alcoholic event.
• UCFS/NPHC Meeting Scheduling: Kaila missed the first UCFS meeting, which was last week. It occurred while we
were in St. Louis. The agenda was primarily an overview of the coming year.
• Greek Unity: Kaila’s position is the liaison between all Greek councils. There are many different ways to collaborate
between all organizations. PHC and IFC should approach other councils, and make them feel welcome. Kaila is
considering an All-Greek Formal. She is also considering a Retreat including all four councils.

• Update: Chapter annual reports are currently being evaluated, and will be returned soon. Last year, there were four
chapters who scored high enough to be in the Academy of Excellence.
• Adam is very tired of receiving pictures e-mailed to him. A lot of the pictures have no policy violation. If you can’t
give your name to the office, that is lame. Before you send in pictures, please look at your own. If you have concerns,
please come and speak with Adam. There are some circumstances it is acceptable to be accountable. You are only
making this community more competitive and nasty; so unless you have a legitimate concern, please do not waste
Adam’s time.
• Scholarship Application is out, and please sent out to chapter women. It is for Juniors and Seniors, and is $1500.00.
You can be from any area specifically, or in a certain chapter.
• AFLV Update: Adam can successfully evade any woman who tries to take a picture of him while sleeping. Adam has
excellent crisis and risk management skills.

• By-Law INTERROGATION: There will be weekly questions asked over the By-Laws to make everyone more familiar

• Next semester, the by-laws will be updated, so it’s a good idea to be looking over them now, so you have an idea of
what you would like to change. Will only be doing this one time.
• Update form is due in Squires 319 this Friday, Feburary 12th. There will be a fine if this is not completed. It is a record
of your chapter information.
• Please keep your chapters on top of Panhellenic Dues. It is usually a difficult process to get checks from chapters, so be
sure to remind your chapters. Dues pay for the operating costs for the entire sorority community (Speakers, Greek
Week, etc.). There are fines if they aren’t paid in time!
• All Philanthropies Panhellenic participates in are dry events, please remember that. Adam doesn’t understand
Philanthropy events at bars, but you will be responsible for whatever happens at these events. Be mindful, and if a
chapter sponsors an event, it must be dry.
• Executive Panhellenic will be talking about the trip this next week, what they have learned, and it is your job to listen.
Can check it out at AFLV.com. Ask why it is worth YOUR money to go.
• Encouraged to bring a date next week! ALSO, please remind your Presidents to come to PHC next Wednesday, and to
dinner at 6:00PM, and more than welcome to stay for the meeting!
• Sarah would like to remind you, Recruitment rules would be presented, beginning next week. Be speaking with the
chapter and advisors if you would like something to be changed, this goes along with the By-laws as well.
• Some of you have a very specific process on how By-laws are changed, and it is a good idea to talk with your chapter.
Be sure you know the process to approve or disprove the Bylaw Procedure.

-Introductions: I’m Meghan, the new PHC President. We will open every meeting with the Creed – keep it in binders! We will begin by everyone introducing yourself, what chapter you’re from, and what your position is.
-Attendance Policy: Passing around Delegate Attendance Policy – a little confusion and I want to make sure we’re on the same page. 6:00PM and on, schedule nothing because of PHC. Next semester will be at six, depending on scheduling. If you can’t make it, send someone from your chapter (a reliable person), otherwise you will be fined from Panhellenic. Delegates need to bring back this form if not here today. Feel free to contact me at any time.
-Voting of Director Positions: We will be voting today, and hopefully the old delegates informed you all. There was a delay in interviewing this past semester, and it was so late we didn’t have time during Panhellenic Council to vote, so we will do today We will vote on the slate as a whole.
-Delegate listserv: Will be creating, and if you e-mail Meaghan, she will be happy to send it out over the listserv to all the delegates – a great way to utilize each other.
-Panhellenic Princess: This is the third year we’re doing it (and is Adam’s favorite part of Panhellenic) Chi Omega had it last, so next week they will come and pick a sorority who did something significant the past week, and will be named Panhellenic Princess for the semester.
-Bringing dates to PHC meetings: This is not men! Women from your chapter can come every week, and it’s a great way to promote Panhellenic. It will help show them the ropes, and will be very helpful for Jr. Panhellenic. This is basically to get out our name more, but please limit to one girl per meeting (because this room is so small). Please bring “dates” to meetings, we’ll be sure to make them feel welcome.

-Recruitment Roundtable: Roundtables will be every other Wednesday at 8:30 and your Recruitment Chair should be on the listserv. Kappa Kappa Gamma is the only Sorority without a Recruitment Chair as of right now.
-Recruitment Team: We’re going to start utilizing the delegates, we want to work together as a whole. We will have three teams we want to place you on, and you will have preference on what team you are on. We will meet with the teams after meetings (It is the Administration, Programming, and Recruitment Team). Forms being passed around, please fill it out, or if your delegate isn’t here tonight, bring it to the next Council meeting. Sarah will be in charge of the Recruitment Team, but will also be working a lot with Liz regarding the 365 Events. This will help the delegates understand the Recruitment Process better.

-Reimbursement Procedure: Just wants to go over with everyone. Allison doesn’t have the ability to right a check, she has to do it through the University. Allison will need the receipt, and please highlight what was bought that needs reimbursement. Tape this receipt to a piece of computer paper. You must also hand in bank statements, but you can black out what you don’t want anyone else to see. It takes ten days for reimbursement. Please keep Allison informed on big purchases in the budget.
-Panhellenic Dues: Invoices will be sent out within the next week, and they will be due two weeks after it is sent out. It depends how many women were on grade report last semester as well as who was taken through Formal Recruitment. If new members drop, you need to make note and we will recalculate dues for your chapter.

-Greek Tutoring System: This is really good for resume/leadership skills. The list of tutors will be on the PHC website, which is a little different from last year. Information will be sent out to scholarship chairs soon.

-Be sure to go back and congratulate chapters on outstanding academic success this past semester. 3.27 is the average for Greek woman,  and 3.1 is the all-women average. 11 chapters are above the all-women average. All chapters were above the all-undergraduate students. And congrats to top 5 chapters of last semester.
-Adam’s Rules for Success: These are the basic rules you need to achieve to make sure your chapter does not get in trouble with conduct issues.
1.    Don’t be dumb.  – You know what’s right; you know what’s wrong.
2.    Don’t let your sisters be dumb.
3.    Don’t let your new members be dumb. – This is the hardest rule of all. This is more than just a group of girls they hang out with, the chapters have values, standards, and there will be consequences if you break these.
4.    Don’t let the men you’re with be dumb. – There are no alcoholic socials at your house. You cannot get other fraternities in Oak Lane have socials for you. If you’re attending an event with someone, they must meet your standards as well. If there are 6 members there, and exec knows about it, it’s official.
5.    If people are being dumb, leave.
You do stupid things in the Spring, after doing so well in the Fall. Be smart! Be the person to say something.

Meaghan was a delegate last year. She wants more unity between exec and delegates, and wants to open more doors. Meaghan wants to start weekly dinners before PHC. Weekly dinners will be at 6:00PM, and she don’t know where at yet, but will e-mail everyone this week. And please join a team with us for Panhellenic Relay for Life – it’s a good way for us to be one together.

President Meaghan Gough opened the floor for discussion and voting on the proposed approval of Director Positions.

-We are presenting all director position in one slate.
-We are representing 10 out of 13 sororities, which means we have more representation than last year. These women are highly qualified, and have a lot of experience.
-They will do their job correctly, and it took a lot of time to chose them.
-We need a 10 out of 13 vote, and it will be a silent ballet. Please write if you approve or deny the slate.

Alpha Phi has their New Member Retreat this weekend, and rehearsal for Anchor Splash begins tonight.
Chi Omega is busy getting to know their new girls.
Pi Beta Phi has a potluck tonight starting at 7:30PM and of course are getting to know their new girls.
Kappa Delta has planned their New Member Retreat for this weekend, they’re going to hot yoga.
Sigma Kappa’s retreat was cancelled this past weekend, but has been rescheduled for later in the month. Sigma Kappa is also getting ready for Anchor Splash!
Kappa Kappa Gamma is getting ready for Anchor Splash and retreat is this Friday
Delta Zeta is getting to know their New Members,, and Friday is their New Member sleepover.

-Introductions: I’m Meghan, the new PHC President. We will open every meeting with the Creed – keep it in binders! We will begin by everyone introducing yourself, what chapter you’re from, and what your position is.
-Attendance Policy: Passing around Delegate Attendance Policy – a little confusion and I want to make sure we’re on the same page. 6:00PM and on, schedule nothing because of PHC. Next semester will be at six, depending on scheduling. If you can’t make it, send someone from your chapter (a reliable person), otherwise you will be fined from Panhellenic. Delegates need to bring back this form if not here today. Feel free to contact me at any time.
-Voting of Director Positions: We will be voting today, and hopefully the old delegates informed you all. There was a delay in interviewing this past semester, and it was so late we didn’t have time during Panhellenic Council to vote, so we will do today We will vote on the slate as a whole.
-Delegate listserv: Will be creating, and if you e-mail Meaghan, she will be happy to send it out over the listserv to all the delegates – a great way to utilize each other.
-Panhellenic Princess: This is the third year we’re doing it (and is Adam’s favorite part of Panhellenic) Chi Omega had it last, so next week they will come and pick a sorority who did something significant the past week, and will be named Panhellenic Princess for the semester.
-Bringing dates to PHC meetings: This is not men! Women from your chapter can come every week, and it’s a great way to promote Panhellenic. It will help show them the ropes, and will be very helpful for Jr. Panhellenic. This is basically to get out our name more, but please limit to one girl per meeting (because this room is so small). Please bring “dates” to meetings, we’ll be sure to make them feel welcome.

-Recruitment Roundtable: Roundtables will be every other Wednesday at 8:30 and your Recruitment Chair should be on the listserv. Kappa Kappa Gamma is the only Sorority without a Recruitment Chair as of right now.
-Recruitment Team: We’re going to start utilizing the delegates, we want to work together as a whole. We will have three teams we want to place you on, and you will have preference on what team you are on. We will meet with the teams after meetings (It is the Administration, Programming, and Recruitment Team). Forms being passed around, please fill it out, or if your delegate isn’t here tonight, bring it to the next Council meeting. Sarah will be in charge of the Recruitment Team, but will also be working a lot with Liz regarding the 365 Events. This will help the delegates understand the Recruitment Process better.

-Programming Team: What you’ll be doing is assisting with programs, running errands, decorating for Greek Awards, little things like that.

VP FINANCE: Allison Kimball   
-Reimbursement Procedure: Just wants to go over with everyone. Allison doesn’t have the ability to right a check, she has to do it through the University. Allison will need the receipt, and please highlight what was bought that needs reimbursement. Tape this receipt to a piece of computer paper. You must also hand in bank statements, but you can black out what you don’t want anyone else to see. It takes ten days for reimbursement. Please keep Allison informed on big purchases in the budget.
-Panhellenic Dues: Invoices will be sent out within the next week, and they will be due two weeks after it is sent out. It depends how many women were on grade report last semester as well as who was taken through Formal Recruitment. If new members drop, you need to make note and we will recalculate dues for your chapter.

-Greek Tutoring System: This is really good for resume/leadership skills. The list of tutors will be on the PHC website, which is a little different from last year. Information will be sent out to scholarship chairs soon.

-Stand Up! Stand Out!: It is Monday February 8th, and is hosted by Zeta Tau Alpha. It is mandatory for all new members. The speaker will be Explaining how to get the most out of Greek Life. It is at 5:30 in Whitmore 300.
-New Member Meetings: We will be trying to get together with all new members in every chapter very soon.

-Welcome: Remember this is also an opportunity for delegates to be asking questions, and becoming involved. Challenge what exec decides, this is why it’s important to get involved in Teams. This isn’t just a time to listen, that’s boring…talk!
-Organization Update Form: Just go to the third floor of Squires and make sure this is don, it must happen every time new officers elected. Virginia Tech needs the information as well, this is what the form is for.
-Be sure to go back and congratulate chapters on outstanding academic success this past semester. 3.27 is the average for Greek woman,  and 3.1 is the all-women average. 11 chapters are above the all-women average. All chapters were above the all-undergraduate students. And congrats to top 5 chapters of last semester.
-Adam’s Rules for Success: These are the basic rules you need to achieve to make sure your chapter does not get in trouble with conduct issues.
1.    Don’t be dumb.  – You know what’s right; you know what’s wrong.
2.    Don’t let your sisters be dumb.
3.    Don’t let your new members be dumb. – This is the hardest rule of all. This is more than just a group of girls they hang out with, the chapters have values, standards, and there will be consequences if you break these.
4.    Don’t let the men you’re with be dumb. – There are no alcoholic socials at your house. You cannot get other fraternities in Oak Lane have socials for you. If you’re attending an event with someone, they must meet your standards as well. If there are 6 members there, and exec knows about it, it’s official.
5.    If people are being dumb, leave.
You do stupid things in the Spring, after doing so well in the Fall. Be smart! Be the person to say something.

Meaghan was a delegate last year. She wants more unity between exec and delegates, and wants to open more doors. Meaghan wants to start weekly dinners before PHC. Weekly dinners will be at 6:00PM, and she don’t know where at yet, but will e-mail everyone this week. And please join a team with us for Panhellenic Relay for Life – it’s a good way for us to be one together.

President Meaghan Gough opened the floor for discussion and voting on the proposed approval of Director Positions.

-We are presenting all director position in one slate.
-We are representing 10 out of 13 sororities, which means we have more representation than last year. These women are highly qualified, and have a lot of experience.
-They will do their job correctly, and it took a lot of time to chose them.
-We need a 10 out of 13 vote, and it will be a silent ballet. Please write if you approve or deny the slate.

Pi Beta Phi motioned to vote.
Delta Delta Delta seconded the motion.
The motion is passed, congratulations new directors!

Delta Delta Delta will be having a party this Friday with children they mentor at Lincoln Elementary.
Delta Gamma is preparing for Anchor splash and have planned their New Member Retreat this weekend.
Alpha Phi has their New Member Retreat this weekend, and rehearsal for Anchor Splash begins tonight.
Chi Omega is busy getting to know their new girls.
Pi Beta Phi has a potluck tonight starting at 7:30PM and of course are getting to know their new girls.
Kappa Delta has planned their New Member Retreat for this weekend, they’re going to hot yoga.
Sigma Kappa’s retreat was cancelled this past weekend, but has been rescheduled for later in the month. Sigma Kappa is also getting ready for Anchor Splash!

Delta Zeta is getting to know their New Members,, and Friday is their New Member sleepover.
